Missed Call Text Back for Plumbers: Win the Urgent Jobs You Can't Answer
The plumbing problem: urgent calls, busy hands
Plumbing calls tend to be urgent: burst pipes, backed-up drains, no hot water, a leak through the ceiling. The caller is stressed and moving fast. They'll call two or three plumbers in a row and book whoever responds first. Meanwhile, a solo plumber or small crew is often under a sink, in a crawlspace or driving, and can't answer.
That gap between "phone rings" and "someone responds" is where jobs are lost. Missed call text back narrows it to seconds.
How it works
When a call to your business number goes unanswered, the system automatically texts the caller. The customer can reply with details while you finish the current job. When you surface, you already know the address, the problem and how urgent it is, and you can call back ready to quote or dispatch.
Writing the auto-reply
A good plumbing auto-text has three parts: who you are, an acknowledgement, and one triage question.
Hi, it's Riverside Plumbing. Sorry we missed you. We're on a job. What's going on, and is water actively leaking right now? Reply here and we'll call you back shortly.
Asking "is water actively leaking?" is useful because it separates true emergencies from routine work in a single reply.
Emergency triage by text
Set up simple rules for replies: - Active leak or flooding: tell the customer how to shut off the main water valve (usually near the water meter or where the line enters the house) and alert the on-call plumber immediately. This genuinely helps the customer and limits damage before you arrive. - Sewage backup: advise them to stop running water in the house and escalate. - No hot water / slow drain / quote: collect the address, a photo if possible, and a callback window. - Gas smell from a water heater: tell them to leave and call the gas utility or emergency services. Never troubleshoot gas by text.
Ask for photos
SMS lets customers send pictures, and that's one of the most underrated parts of text back. A photo of the water heater label, the leak or the fixture lets you bring the right parts on the first visit and give a more accurate estimate. Ask for one in the second message, not the first.
Be honest about timing and pricing
Automated messages should never invent arrival times or prices. Instead of "a plumber will be there in 20 minutes", use "we'll call you back as soon as we're off this job". If you charge a call-out or after-hours fee, mention it once a human is involved and before you book. Surprise fees are the fastest way to a one-star review.
After hours
Decide which of these you are: 1. 24/7 emergency service: the after-hours text says so, notes the after-hours rate and escalates emergencies to whoever is on call. 2. Business hours only: the text says you're closed, gives the shut-off valve tip for leaks, and offers the first slot next morning.
Either is fine. What matters is that the text matches what you actually do.
Compliance
Replying by text to someone who just called you is normally a direct response to their enquiry, but keep it to that conversation. Include opt-out wording such as "Reply STOP to opt out" where required, don't add people to promotional lists without permission, and register your sending number with your SMS provider (in the US, that means A2P 10DLC registration).
Measuring results
Track for at least four weeks: - Missed calls per week - Percentage of auto-texts that get a reply - Jobs booked from text conversations - Revenue from those jobs
These are your own numbers, and they're the only ones that matter. A business that rarely misses calls may not benefit much. A busy one-van operation often finds it was losing several jobs a week.
Mistakes to avoid
- Generic texts that don't name the business
- Long first messages with links and offers
- Nobody reading replies until the end of the day
- Promising things the automation can't guarantee
